PMO Assistant – Agile Tools & Project Governance

The service to be provided consists of operational PMO support combined with administration and governance of Agile project management tools (e.g., Jira, Azure DevOps or equivalent platforms) for software development.
The consultant will support governance execution, agile discipline, reporting structure, and tool administration under guidance of the Service Owner.

The objective is to ensure structured delivery, process transparency, and consistent usage of Agile management tools across the team.
Under the guidance of the Service Owner, the key responsibilities are:
  • Prepare and organize weekly, monthly and project oversight meetings
  • Prepare structured agendas and document minutes
  • Track action items and ensure follow-ups
  • Maintain and update project plans and Agile boards
  • Ensure compliance with defined templates and workflow rules
  • Monitor deadlines, blockers, and documentation compliance and report findings
  • Prepare monthly reporting and exports for project oversight alignment
  • Support backlog grooming sessions and sprint preparation
  • Facilitate operational meetings when delegated by the Service Owner
  • Create and maintain Agile boards
  • Configure and adjust workflows
  • Maintain structured and clean backlog
  • Create dashboards and reporting views
  • Configure basic automations
  • Support user discipline and consistent usage of the tool
  • Monitor workflow compliance and highlight deviations

The service will deliver, as example but not limited to, when required: structured meeting agendas and minutes, updated and maintained Agile boards, monthly reporting packages, clean and compliant backlog structure, workflow compliance monitoring, action tracking logs.

The following limits are applied to the service to be provided:
Authority and scope for the following remains with the Service Owner: Task and project prioritization, Scope approval, Governance model definition, Budget-related decisions, Strategic and financial decisions.

Requirements

Mid-Level – Understanting and Experience with Agile methodologies (Scrum / Kanban)
Mid-Level – Experience using Agile project management tools (e.g., Jira, Azure DevOps or equivalent)
Mid-Level – Experience in task coordination and follow-up tracking
Mid-Level – Strong organizational and documentation skills
Mid-Level – Ability to prepare structured reports and meeting minutes
Mid-Level – Proficiency in Microsoft 365 (Excel, PowerPoint, Teams, SharePoint)
Mid-Level - Basic knowledge of workflow configuration and tool administration
Mid-Level - Awareness of ITIL principles
Mid-Level - Experience supporting governance or compliance-driven environments
Mid-Level - Exposure to international / cross-functional teams
Mid-Level - Professional communication skills in english (written and verbal)
